Card payment declined at a travel agency: what to do
In short
When a card payment is declined, the agency should check the transaction status, then guide the traveller according to the available reason: correct their details, complete authentication, contact their bank or use another accepted method. The amount remains due until payment is confirmed. A decline does not always reveal its exact cause. Give the client a clear next step, without repeating identical attempts or risking a duplicate payment.
The traveller has accepted the quote. They open the link to pay their deposit, enter their card details and see a message: “Payment declined”. A few minutes later, they write to the agency: “But there is money in my account.”
The agency now needs to understand what it can check, what falls to the client's bank and how to resume payment. A generic message followed by an invitation to try again often leaves the traveller facing the same problem.
This guide sets out a method for handling a failed deposit or balance payment: check the transaction, suggest an appropriate action and maintain an accurate record until payment is confirmed.
Why might a travel payment be declined?
A card payment can fail for several reasons: insufficient funds or available credit, incorrect details, a security check or a technical issue. An unusual amount can trigger a check by the bank, as explained in Stripe's guide to card declines.
The source of the decline matters. According to Stripe's documentation on failed payments, a failure can come from the card issuer, a block by the provider or an integration error. Asking the client to call their bank will not resolve every problem.
Declined card payment
A payment attempt that has failed and has not resulted in confirmed collection. Its reason may be specific, such as an expired card, or remain generic.
In travel, the difficulty can arise at different stages: the deposit at booking, a larger balance before departure or an extra service added at the last minute. The team should identify the relevant instalment before suggesting a solution.
A decline does not prove that the traveller wants to abandon their booking. It indicates that one stage of payment needs attention. Start by identifying that stage.
What should you check before asking the client to try again?
First check what actually happened with the payment provider. The traveller's message is a starting point, but the transaction status should guide the next step.
Checks before resuming payment
- Find the booking, instalment, amount and time of the attempt.
- Check whether payment has failed, is still processing or is already confirmed.
- Look for another successful transaction for the same instalment.
- Read the available reason without inferring a cause the provider has not given.
- Check the outstanding amount and payment deadline.
- Decide who will contact the traveller and what action to suggest.
If the status is uncertain, have it clarified before requesting a second payment. The priority is to avoid collecting the same amount twice.
Keep a short note in the payment record: “€7,000 balance, failed attempt, client asked to check their card limit.” A colleague can then take over without investigating again. Our guide to travel deposits and balance payments explains how to keep payments linked to their booking and the outstanding amount accurate.
What action should you suggest for each decline reason?
The next action should match the information available. The table below covers situations documented in Stripe's official list of decline reasons.
| Available reason | Traveller's action | Agency's action |
|---|---|---|
| Incorrect card details | Correct them on the secure payment page | Invite the client to resume payment |
| Expired card | Use a valid card | Check the accepted methods |
| Insufficient funds | Choose another suitable method | Avoid repeating the same request |
| Bank decline without explanation | Contact the bank | Provide the amount, date and merchant name |
| Temporary processing issue | Try again after checking | Contact the provider if the failure persists |
A generic decline is not grounds for concluding that the account lacks funds. Likewise, a new URL will not resolve a bank restriction on its own.
If several clients suddenly encounter the same problem, also investigate the payment flow and the provider. A shared incident should be handled as such, rather than directing every traveller to their bank.
When sending a case to support, prepare the transaction reference if one exists, the time, the amount and the message shown. Ask the traveller to hide sensitive information in any screenshot. The agency does not need the full card number, security code or authentication code.
What if the travel balance exceeds the card limit?
The money available in the account is different from the amount still payable by card. The traveller should check their limit and payments already counted over the period defined in their agreement.
France's official Service Public guidance describes requesting a temporary increase in a card's payment limit. Whether a bank allows this depends on its terms and the cardholder's circumstances; check with the bank concerned.
Take a fictional example: a €10,000 trip with a €3,000 deposit already collected. The balance is €7,000. If the client's available card limit is lower, resending the same request will not resolve the problem.
- Trip total
- €10,000
- Deposit collected
- €3,000
- Outstanding
- €7,000
The agency can ask the client to check whether a temporary increase is possible, use another accepted card or choose another available method. The choice also depends on the time left before the deadline.
Splitting the amount into several transactions on the same card does not create additional spending capacity. It can multiply requests and complicate tracking. Any change to the payment schedule should be agreed with the client and recorded in the booking. Our guide to travel deposits and balances explains how to keep the outstanding amount accurate.
Why can a payment fail after 3D Secure?
Authenticating the cardholder and authorising payment are separate steps. The client may have approved a request in their banking app without the transaction subsequently succeeding.
Stripe's documentation on the 3D Secure flow distinguishes the authentication result from the payment result. Successful authentication is therefore not enough to mark the booking as paid.
Ask the traveller whether they completed verification, then check the status with the provider. If authentication is still required, they need to resume the secure flow. If it succeeded but the decline persists, have the bank or support investigate according to the available reason.
A useful message is specific: “Check the request in your banking app, then return to the payment page to see the result.” Avoid promising that this approval will guarantee collection.
3D Secure also plays a role in fraud prevention. Its role in disputes is explained in our article on chargebacks at travel agencies.
When should you offer SEPA direct debit or a bank transfer?
Another payment method may be appropriate when the card remains unusable. Check that it suits the amount, the deadline and the traveller's account.
SEPA direct debit debits an account under a mandate accepted by the payer. It uses a different payment route from a card. Confirmation is delayed and limits apply. Stripe documents standard settlement at six business days after submission and limits that may require a request for an increase: check the conditions applicable to your account. Source: Stripe's SEPA documentation.
A bank transfer is sent by the traveller to the agency's account. If you choose this option, provide a precise booking reference, then check receipt and allocation of the funds. Proof that the client submitted an instruction does not replace this check.
Choose the alternative to suit the booking
- Departure is close and payment needs prompt confirmation
Check the actual timing of each option before offering it. A direct debit still processing is not a confirmed payment.
- The card remains blocked and there is enough time before the deadline
Consider another accepted method and explain its payment flow and expected timing to the traveller.
- You agree on a bank transfer with the client
Keep the booking reference and check receipt before updating the collected amount.
The choice between card, bank transfer and SEPA direct debit for travel is worth planning at booking. Offering a known alternative is easier than improvising after a failure.
What message should you send after a declined payment?
A useful message reminds the client of the deadline, gives a next step and keeps contact with the agency. It avoids assigning an unconfirmed cause or requesting card details.
Adapt these two templates after checking the status. Replace the text in square brackets with the booking details.

How do you track a declined payment in Ezus Pay?
Ezus Pay tracks collected and outstanding amounts by booking, with visibility into failed payments. The team can contact the traveller knowing which request failed and how much remains due.
The record should retain both events: the failed attempt and, when it occurs, the confirmed payment. In our fictional booking, the declined balance payment does not change the deposit already collected. The outstanding amount remains €7,000 until the new payment is confirmed.
The agency creates requests for a deposit, balance or custom amount, attached to the booking. The traveller has a payment page offering card or SEPA direct debit. When payment is confirmed, collected and outstanding amounts update. If another method was agreed outside this flow, check its allocation to the booking.
Automatic reminders apply to payment plans. An unpaid instalment is followed up 3 days after its due date, and an automatic debit declined for a temporary reason is retried once. For a one-off payment link, the agency controls client contact and the choice of the next action. Our guide to travel payment plans covers each decline case. Centralised tracking mainly saves it from reconstructing the booking before every exchange.
For a travel agency, DMC or tour operator, the method has four steps: check, explain, suggest, then confirm. Payment is complete when the transaction has succeeded and the booking reflects the amount actually collected.
The broader context is covered in our guide to online payments for travel agencies. Ezus Pay lets you create and track payment requests for each trip, with or without Ezus.
